Card Acceptance Policy

This Card Acceptance Policy (“Policy”) explains the terms on which Adroit Gate Solutions (“Adroit”, “we”, “us”, “our”) accepts debit and credit card payments from clients (“client”, “you”) for our IT consulting, software development, cloud, and managed services. This Policy forms part of, and should be read together with, our Terms & Conditions and our Refund & Cancellation Policy. Where this Policy is silent, the Terms & Conditions govern.

  1. Accepted Cards

Where card payment is offered for an invoice, proposal, or engagement, Adroit accepts major debit and credit cards (such as Visa and Mastercard) through our designated payment processor. Not all services or invoices may be payable by card; where card payment is unavailable, alternative methods (such as bank transfer) will be provided.

  1. Payment Processing and Security

Card payments are processed through a PCI DSS-compliant third-party payment gateway. Adroit does not directly collect, view, store, or retain full card numbers, card verification codes (CVV), or PINs on our own systems; this information is captured and processed solely by our payment processor in accordance with its own security standards and terms.

  • All card transactions are encrypted in transit using industry-standard security protocols.
  • Adroit relies on its payment processor’s fraud detection, authentication, and compliance controls, and is not responsible for the performance, availability, or security practices of that third party, consistent with Section 14 (Third-Party Links and Services) of our Terms & Conditions.
  • Cardholders may be required to complete additional verification (such as 3-D Secure/OTP authentication) requested by their card issuer or our payment processor before a payment is approved.
  1. Authorisation and Currency

By submitting card details for payment, the cardholder confirms that they are authorised to use the card and authorises Adroit and our payment processor to charge the agreed amount for the relevant invoice, deposit, milestone, or recurring fee.

  • Invoices are issued and charged in the currency stated on the invoice or project agreement.
  • Where a card is issued in a different currency, the client’s card issuer or bank may apply currency conversion and related fees; Adroit is not responsible for these charges.
  • For recurring or subscription-based services (for example, hosting, support retainers, or Software as a Service access), the client authorises Adroit to charge the card on file for each billing cycle until the service is cancelled in accordance with our Refund & Cancellation Policy.
  1. Declined or Failed Payments

If a card payment is declined, fails, or is reversed by the issuing bank, Adroit will notify the client and may suspend or delay the affected service, deliverable, or project milestone until payment is successfully completed, consistent with Section 7 (Quotes, Fees, and Payment) of our Terms & Conditions. Clients are responsible for ensuring that card details on file are current and have sufficient available funds or credit.

  1. Chargebacks and Disputes

If a client has a concern about a charge, we encourage contacting Adroit directly first so the matter can be reviewed and resolved in good faith before any chargeback is filed with the card issuer.

  • Adroit reserves the right to contest chargebacks that it believes are unwarranted, including by providing the card issuer with evidence of the agreement, deliverables, and communications relating to the disputed charge.
  • Repeated or unwarranted chargebacks may result in suspension or termination of services in accordance with Section 18 (Term and Termination) of our Terms & Conditions, and Adroit may decline to accept further card payments from the client.
  • Where a chargeback is upheld for an amount corresponding to work already delivered, Adroit reserves the right to invoice the client separately for that work and pursue payment through other lawful means.
  1. Card Data Retention

Adroit does not store full card numbers or CVV codes. Where our payment processor offers a secure card-on-file (tokenisation) facility for recurring billing, only a tokenised reference is retained by the processor, not the underlying card details. Clients may request removal of a saved card-on-file at any time by contacting us using the details in Section 8.

  1. Client Responsibilities
  • Provide accurate, current, and complete card and billing information.
  • Promptly update card details on file if a card expires, is replaced, or is cancelled, particularly for recurring services.
  • Notify Adroit promptly of any unauthorised charge, suspected fraud, or billing discrepancy.
  • Ensure that any card used belongs to the client or that the client is otherwise authorised to use it for payment.
